Accounting Specialist

The Accounting Specialist is a key member of the Agency Finance Team. The Accounting Specialist is primarily responsible for managing the client billing process and collaborating with various internal teams to ensure the accuracy of financial data in a fast-paced, ever-changing, agency environment. 


The ideal individual will exercise good judgment in a variety of situations, with strong communication and interpersonal skills, organizational skills, and the ability to maintain a realistic balance among numerous priorities. The individual will have the ability to work independently on projects from inception to conclusion and be able to work under pressure at times to handle a wide array of responsibilities and confidential matters with discretion.


Key Responsibilities:

  • Manage a portfolio of clients, responsible for the day-to-day client financial operations including media billing, revenue billing, production billing, and all related reconciliations
  • Ensure that account teams maintain structured client, product, and/or job codes in multiple systems
  • Act as a liaison between project management team and media account teams to monitor billing processes accuracy, receivables, account reconciliation, and revenue projections
  • Track and review insertion orders, including notifying appropriate teams of any missing, outdated, and/or inaccurate information or discrepancies between insertion order and media plan
  • Communicate with external accounts receivable departments as well as internal media teams to resolve billing discrepancies
  • Coordinate and facilitate the vendor payables process to insure receipt and reconciliation of invoices against client campaigns
  • Assist media teams on payment and/or invoice inquiries and provide weekly updates on any unresolved billing issues
  • Maintain frequent and ongoing communication with the Director of Client Financial Services regarding critical issues and offering recommendations for their resolution
  • Assist the monthly close process, as needed 
  • Supply appropriate information for client and external audits, as needed
  • Perform ad hoc analysis and reporting, as needed

Desired Qualifications:

  • Bachelor’s Degree in Accounting/Finance preferred 
  • Minimum 2-5 years of experience in accounting, finance, and/or billing
  • Experience billing scopes of work or contract work for professional services preferred 
  • Experience in media or advertising industry a plus
  • Experience with MediaOcean or Freewheel (Strata) systems a plus
  • Intermediate proficiency in Microsoft excel and excel-based reporting
  • Aptitude and ability to work with financial information with a high level of attention to detail
  • Ability to think strategically and analytically
  • Ability to prioritize, manage multiple projects, and meet deadlines
  • Ability to develop and implement structured solutions for unstructured problems
  • Ability to understand and evaluate processes from a perspective of internal controls and process improvement
  • Strong communication and interpersonal skills
  • Team player who can function well in a fast-paced environment
